Business Continuity Plan – Coronavirus Co-Vid 19

AVA Fire & Security Ltd maintains a Business Continuity Plan to ensure emergency preparedness and response in order to mitigate any impacts of an incident occurring.

 

The plan is reviewed annually and will be reviewed and adapted continually when enacted.

 

PURPOSE

The purpose of the procedure is to ensure that AVA is specifically prepared for the Coronavirus Covid-19 pandemic.

 

RESPONSIBILITY

The Director (Compliance) has responsibility for the implementation and testing of the Business Continuity Policy.  All staff have responsibility for complying with the requirements of this procedure.

  • Provide a continuing service to our customers
  • Responsive actions to minimize impact to services
  • Maintaining critical suppliers to support the business operation
  • Ensure AVA communicate with the customers and staff clearly

 

ACTIONS

AVA will follow Government advice as a matter of course.  We will monitor news outlets and Government websites to ensure we are acting in the best interest of the company and the wider community.  This information will be distributed to all members of staff electronically.

 

AVA Engineers are peripatetic, and in most circumstances are lone working.  Each engineer is equipped with a mobile phone and carries emergency stock on their vehicles.

 

All personnel are required to call the office by 8.00am if they are unwell, this will allow operations staff to plan the daily workload.

 

Engineers should contact housing scheme/multi occupancy site managers before entering any flats.

 

All calls to domestic properties will be asked if anyone is self-isolating on the premises at the time the call is placed and on our engineer’s arrival. If there is any self-isolation, we will ask that the call is postponed until the self-isolation period has ended.

 

 

 

When practical, office staff will work from home and log in remotely to our cloud-based Customer Relationship Management (CRM) system and company email system.

 

Co-ordination of services can take place remotely as engineer’s have mobile phones with access to company CRM software.

 

Callouts will be prioritized to ensure calls to the elderly and vulnerable are actioned first.

 

Suppliers will be contacted to assess any gaps in the supply chain and where required seek alternative sources of supply.

 

Engineers carry emergency stock on their vehicles and most common items of stock are also held in AVA stores to ensure continuity of service should there be a situation where the supply chain breaks down temporarily.

 

Should there be an internet connectivity failure at our office, AVA will use a portable WIFI hotspot.

 

As from Monday 16th March the office will be closed to external visitors and where possible any meetings will be postponed or conducted via telephone and/or video call.  We have notified as many people as we can and will notify our clients when speaking to them.

 

REVIEW

Directors will review the plan daily and will adapt where necessary as the situation evolves and dictates.

DO:

  • Wash your hands with soap and water often – do this for lease 20 seconds
  • Always wash your hands when you get home or into work
  • Use hand sanitizer gel if soap and water are not available
  • Cover your mouth and nose with a tissue or your sleeve (not your hands) when you cough or sneeze
  • Put used tissues in the bin immediately and wash your hands afterwards
  • Try to avoid close contact with people who are unwell

  • Do not touch your eyes, nose or mouth if your hands are not clean
